Upright Cooler Ventilation & Clearance Policy

Policy VC-1.1 — Applies to all upright mortuary coolers, upright mortuary refrigerators, roll-in units, vault units, and mortuary freezers sold by American Mortuary Coolers (AMC), American Mortuary Equipment (AME), and U.S. Pathology Equipment (USPE), in both self-contained and remote two-piece configurations. The clearances stated below are standard on all drop-in (packaged) refrigeration systems and are not model-specific.

1. Required Perimeter Clearance

• One (1) inch to one and one-half (1.5) inches minimum of free air space around the entire cabinet — rear, both sides, and all remaining exterior surfaces.
• Clearance is measured from the outermost point of the cabinet, condenser housing, hinges, handles, and any protruding component to the nearest wall, cabinet, column, adjacent unit, or other obstruction.
• When units are installed side by side, the minimum gap must exist between each unit. Units may not be pushed flush against one another.
• Clearance must remain permanently in place. It is not a delivery-day condition; it is an operating condition for the life of the unit.
• These figures are absolute minimums, not targets. Where the installation space allows, additional clearance is recommended and will extend compressor life.

2. Compressor and Condensing Unit Overhead Clearance

• A minimum of sixteen (16) inches of unobstructed vertical clearance must be maintained above and around the compressor / condensing unit at all times.
• This clearance exists to permit adequate airflow, heat rejection, and physical service access to the drop-in refrigeration package. It is required on every drop-in system regardless of model, capacity, or cabinet width.
• Ceilings, soffits, dropped ceilings, ductwork, sprinkler runs, lighting, shelving, and overhead storage must not encroach on this 16-inch envelope.
• Units installed in rooms with insufficient ceiling height to accommodate the cabinet plus 16 inches of overhead clearance are outside specification and are not covered.

3. Prohibited Installation Conditions

The following void warranty coverage on the same terms as insufficient clearance:

• Building the unit into millwork, casework, an alcove, a closet, or any boxed-in enclosure without a documented, unobstructed ventilation path approved by AMC in writing.
• Blocking, covering, taping over, or restricting any condenser intake or discharge grille, louver, or vent.
• Storing boxes, equipment, supplies, or any other material on top of, behind, or against the unit, or within the required overhead compressor envelope.
• Hanging curtains, plastic sheeting, drapes, or covers over or across any ventilated surface.
• Operating with a dirty, obstructed, or unserviced condenser coil or filter.
• Placing the unit where discharge air from the condenser recirculates back into the intake, or where an adjacent heat-producing appliance discharges into the unit.
• Field modification of the cabinet, refrigeration package, or its enclosure for the purpose of reducing any required clearance.

4. Ambient Conditions

Clearance requirements are in addition to — not a substitute for — the ambient operating limits stated in the Warranty Disclaimer & Refrigerant Safety Notice. All refrigeration systems are designed and warrantied for operation at or below 80°F ambient including Temperature-Humidity Index (THI). Restricted airflow raises the effective ambient temperature at the condenser and will push an otherwise compliant room out of specification.

5. Owner Maintenance Responsibility

• The customer is solely responsible for the ongoing maintenance of the compressor and refrigeration system for the life of the unit, including annual professional maintenance service as needed.
• Owner maintenance includes, without limitation: cleaning of condenser and evaporator coils; inspection and clearing of condensate drain lines and drain ports; inspection and replacement of door gaskets and seals; verification of refrigerant charge and system pressures; verification of temperature performance against the published operating range; and inspection of electrical connections, fan motors, and controls.
• Maintenance must be performed by a qualified refrigeration technician. Service on A2L and hydrocarbon refrigerant systems must be performed by a technician certified and equipped for the refrigerant in that unit.
• Routine maintenance, cleaning, filters, gaskets, consumables, refrigerant top-off, labor, and service calls are not warranty items and are billable to the customer at all times.
• AMC may require dated maintenance records as a condition of processing any refrigeration warranty claim. Failure to produce records of reasonable, regular maintenance is grounds for denial.
• Failures caused or contributed to by deferred, skipped, or improper maintenance — including compressor failure resulting from a fouled condenser coil — are excluded from coverage.

6. Warranty Consequence

• Installation or operation of a unit with less than the required perimeter clearance on any side, or with less than 16 inches of clearance above the compressor, immediately and permanently voids all warranty coverage on that unit — structural, refrigeration, compressor, electrical, and all parts and accessories — under the Warranty Policy (WR-1.0).
• This is a condition precedent to coverage. It applies whether or not the restricted clearance is the demonstrated cause of the failure.
• Voided coverage is not restored by later correcting the clearance.
• No credit, refund, replacement, exchange, labor allowance, or courtesy service will be issued on a unit installed in violation of this policy.
• Published temperature ranges, pull-down times, capacities, and energy figures assume compliance with this policy. AMC makes no representation or warranty as to unit performance where required clearances are not maintained or required maintenance is not performed.

7. Customer Responsibility and Verification

• It is the sole responsibility of the purchaser and end user to verify, before ordering, that the intended installation space accommodates the unit’s published exterior dimensions plus the required perimeter clearance on all sides and 16 inches of overhead compressor clearance.
• Published exterior dimensions do not include required clearance. Buyers must add it when planning the space.
• AMC may require dated photographs of the installed unit and its surroundings, and any site survey or installation documentation, as a condition of processing any warranty claim. Claims submitted without requested documentation will be denied.
• AMC’s determination of compliance, based on submitted photographs, installation records, maintenance records, and service findings, is final.

8. Relationship to Other Policies

This policy supplements and is incorporated into the Warranty Policy (WR-1.0), specifically Warranty Conditions (3) improper installation and (5) installation per Installation Guide, and the Warranty Disclaimer & Refrigerant Safety Notice. Where any conflict exists, the stricter requirement controls. Nothing in this policy waives or limits any other exclusion, disclaimer, or limitation of liability stated in AMC’s published terms, including the Terms and Conditions.
