Print it, post it beside your racks, and log every monthly inspection — dated and signed — in the Customer Notes section.
Casters: tighten and inspect caster bolts; check forks and mounting plates for cracks, bends, or damage; confirm smooth swivel and roll with no binding; test locking casters for positive lock engagement; inspect polyurethane/plastic wheels annually for nicks or cuts and replace any caster showing wear. Bump stops: tighten and fully inspect attachments on each tier; confirm secure alignment and function; replace damaged or missing stops immediately. Gravity rollers: inspect and adjust for smooth, consistent operation; rollers must spin freely with no binding, flat spots, or excessive wear; clean rollers and tracks of debris; lubricate bearings if applicable; replace damaged components. Structure & welds: inspect all welds and seams for cracks or separation; check frames for bends, dents, or structural damage; confirm cross members and supports are secure. Rust / finish: inspect the entire rack for spot rust — a nick that opens powdercoat to raw steel can rust; touch-up powdercoat paint is available by calling us. Stationary racks — leveling feet: inspect for wear, confirm tight feet and level rack in all directions, verify secure floor contact.
Confirm the rack operates safely and as designed; verify all fasteners are tight; ensure proper tier spacing; confirm the rack is not overloaded; keep wheels clear of debris and obstructions; document the inspection and correct any issue before returning to service. Frequency: inspect racks monthly, perform safety checks each time racks are used, and address issues immediately.
⛔ REMOVE FROM SERVICE PROTOCOL — MANDATORY
If any inspection or use reveals a cracked or separated weld, damaged caster fork or plate, failed or missing bump stop, binding or damaged roller or rail, structural bend or dent, drift-down or fluid leak on a lift, or any condition affecting load safety: immediately remove the equipment from service. Tag it conspicuously “DO NOT USE — REMOVED FROM SERVICE,” move it out of the work path where practical, notify the facility supervisor, and record the finding in your inspection log. Equipment must not return to service until it has been repaired with appropriate parts and re-inspected.
Continued use of equipment that has failed inspection or shows damage is contrary to this guidance and to manufacturer requirements. The purchasing facility is solely responsible for inspection, removal from service, and operator safety; continued use of damaged equipment constitutes misuse, is undertaken at the facility's own risk, voids applicable warranty coverage under WR-1.0, and falls under the assumption-of-risk terms in our Product Liability, Assumption of Risk & Release and the stop-use conditions in TP-1.0.
RACK WARRANTY COVERAGE & MAINTENANCE LOG REQUIREMENT
Casters and plates: 10-year limited warranty. Structure (welds and seams): 10-year limited warranty. Powdercoat finish: 1-year limited warranty (free of defects or induced damage). Condition of warranty: all maintenance required by the product documents — this guide, the 2026 Rack Inspection Guide, and any manufacturer documentation — must be performed on schedule for each product, and every check must be recorded in a log entry that is dated and signed by the authorized person who conducted the check, identifying the equipment and the findings and actions taken. Detailed, fully dated and signed maintenance logs must be produced with any warranty claim; failure to perform required maintenance or to provide such logs voids the warranty claim.
Telescoping rails — including MortuaryGlide™ systems on AMC vault-style coolers — need clean, dry travel: wipe rails with a soft cloth, inspect ball-bearing carriages for smooth full extension without binding or grinding, and confirm positive stops engage at full extension. Never exceed the rated tray load, never allow a tray to be ridden or leaned on while extended, and lubricate only with food-grade / NSF-suitable lubricant if the manufacturer documentation calls for it — many sealed carriages are lubricated for life and solvent cleaning damages them.
Hydraulic & powered lifts: monthly, inspect for fluid weep at cylinders and fittings, verify smooth full-range travel without drift-down under load, test controls and limit stops, and confirm battery charge cycles on powered units follow the manual; load-test annually at rated capacity with documentation. Roll-in racks: verify tray retention during transport, check bumper condition, and confirm rack-to-cooler alignment so trays transfer without lifting or prying; inspect locking mechanisms and any strap hardware each use-cycle. (Church trucks and casket transport equipment are a separate equipment class with their own care requirements — not covered by this rack guide.)
Keep racks clean and free of debris; wipe surfaces regularly with mild cleaner; maintain proper environmental conditions; avoid chlorides/bleach dwell on stainless (pits even 304 stainless); never use carbon-steel wool. Train staff on safe rack handling and usage, post rated capacities at the point of use, remove damaged equipment from service with a visible tag, and keep dated, signed inspection logs on file for compliance — documentation protects your team, supports OSHA general-duty compliance, and is required to preserve warranty coverage.
